Assistant Director 2 (The Hispanic/Latin@ Ministries Program and Perkins Regional Course of Study School) at SMU Perkins 

Salary Range: Salary commensurate with experience and qualifications

Job Summary: The Assistant Director will provide program support for the Perkins Regional Course of Study School (COSS), whose mission is to provide theological education for local pastors, and also provide program support for The Hispanic/Latin@ Ministries Program, whose primary focus is to prepare church leaders with the knowledge and skills for effective ministry in the Spanish-speaking and Hispanic-Latino/a contexts and cultures.
This position will assist the Director in the administrative, financial, curricular technological, and program details related to the design, publicity, and execution of projects and programs. This position also serves as the first point of contact for students, faculty, staff, and constituents of both programs.

Essential Functions:

  • Program Administration - Respond to general inquiries (phone, e-mail, in-person) from faculty, prospective and current students. Greet, assist and direct visitors.
  • Initiate financial transactions related to both programs and ensuring accuracy of those transactions, including invoices, purchasing, independent contractor process, reimbursements, honoraria, and deposits.
  • Oversee and manage constituency database (Mailchimp). Maintain electronic and hard copy files.
  • Plan and oversee logistics for continuing education events, workshops, conferences, web conferencing, and lectures.
  • Negotiating contracts with vendors.
  • Assist with travel and registration for international students (e.g. Visa and passport authorizations) and working with SMU's International Center to initiate visa sponsorship.
  • Oversee temporary staff and student workers.

Program Support

  • Providing technological assistance for programs, such as webinars, video editing, and teleconferences. Assist faculty and students with Wifi login assistance. Provide AV support for COSS faculty and visiting lecturers.
  • Assist with researching and identifying constituencies to discuss program offerings. 
  • Assist with writing, reporting, and management of grants. Assist with identifying new grant opportunities and writing grant proposals.
  • Perkins Regional Course of Study School: Serve as the registrar for COSS, including offering curriculum guidance for students. Create and manage online registration. Develop and manage an annual timeline for deadlines and actions. Develop and maintain online evaluations. Assist with developing plans to expand the program with the goal of creating two additional satellite schools. Assist with developing plans to offer COSS classes in online and hybrid formats. Assist with developing plans to create an Advanced Course of Study School. Represent Perkins School of Theology as related to the COSS on behalf of the director when needed. Attend the annual meeting of Directors of Course of Study School sponsored by GBHEM.
  • The Hispanic/Latin@ Ministries Program: Manage calendar for Perkins Hispanic/Latin@ Ministries Program. Coordinate all aspects of Spanish Language Licensing School. Assist with developing plans to increase enrollment. Work in partnership with The United Methodist Church's National Plan for Hispanic/Latino Ministry to develop strategic plan for developing Hispanic Ministry and help Perkins implement the strategic plan. Representing Perkins School of Theology as related to The Hispanic/Latin@ Ministries Program on behalf of director when needed.

Communications/Marketing

  • Manage collection and updating of content for publications, including monthly e-newsletter. Edit and proofread publications/communications. Generate and manage communication to COSS faculty and visiting lecturers, prospective and accepted students and constituents, including announcements, and upcoming events. Administer bulk mailings.
  • Publish monthly e-newsletter sent to the constituents of the program
  • Assist in compiling quarterly journal (Apuntes). Assist Apuntes editor to review submissions received for consideration and subscription requests.
  • Maintain and update webpages for COSS and The Hispanic/Latin@ Ministries Program.
  • Maintain social media presence on Facebook, coordinate tweets and re-tweets with Office of Public Affairs on a weekly basis, manage page including adding posts.
  • Develop and publish online orientation videos for COSS
  • During the months of July and August, some evening and weekend hours are required.

 
Qualifications - Education and Experience: Bachelor’s degree is required.

A minimum of three years of work experience is required, preferably, preferably providing program support. Experience with planning and managing events, conferences and/or workshops is desirable.   

Knowledge, Skills and Abilities:

  • Fluency in reading, writing and speaking English and Spanish correctly is required.
  • Candidate must demonstrate proficiency in translating from English to Spanish and Spanish to English.
  • Candidate must demonstrate strong verbal and interpersonal skills to effectively build relationships with a wide range of constituencies in a diverse community. Must be also demonstrate the ability to communicate effectively in writing. A strong customer service orientation is essential.
  • Candidate must demonstrate strong organizational and time-management skills with the ability to handle multiple tasks and prioritize appropriately. Must also possess strong problem solving skills with the ability to be resourceful, proactive and seek assistance as needed. Strong project management skills are essential.
  • Candidate must have a strong technical aptitude with the ability to learn new technology tools quickly. The person in this role will assist office staff with technical support and troubleshooting. The ability to be flexible and adapt quickly to changing priorities and frequent interruptions is essential.

Knowledge of structure and organization of The United Methodist Church is strongly preferred.

Candidate must demonstrate proficiency in Microsoft Office software suite (Word, Excel and Outlook), Microsoft Windows operating system, and Mac OS X operating system. Knowledge of and/or experience with Insight and/or File Maker Pro is desirable. Experience with a web content management system is preferred. A working knowledge of and/or experience with social media is desirable.
