Business Administrator
40 hours, benefits eligible
Salary commensurate with experience
Purpose of position: Provide leadership and oversight to all business functions of the church, including human resources, finance, facilities, communications, and information technology
Human Resources/Administration
Knowledgeable about applicable labor laws. Responsible for handling worker compensation claims and providing annual worker compensation reporting to proper authorities. Manage office volunteers to ensure that the church office is consistently operated in a professional, friendly and Christian manner. Ensure church database is maintained. Responsible for records retention in accordance with the Book of Discipline, IRS guidelines and human resource guidelines. Attend weekly staff meetings. Provide assistance to the Grace Garden preschool director in the areas of finance, budgets, policies, and building use.
Finance
Provide direct supervision of financial secretary. Provide oversight of all aspects of the church finances including contributions, payroll, general ledger, accounts receivable, bank reconciliation and finance and tax reporting. Responsible for ensuring finance and tax policies and procedures are in place and carried out as required by the Book of Discipline and the Internal Revenue Service, as well as ensuring all tax deadlines are met. Keep current on changes in non-profit tax laws and payroll tax laws. Assist Treasurer in monitoring cash flow to ensure invoices and payroll will be met in a timely manner. Provide recommendation to Finance when a draw on our line of credit is necessary. Prepare and present monthly finance reports to the Finance committee, offering interpretation, guidance and recommendations as necessary. Provide leadership and knowledge for the Finance, Extravagant Generosity and Endowment committees. Attend monthly committee meetings as required. Provide administrative oversight of investment accounts and the line of credit at Texas Methodist Foundation. Provide information or reports to the Endowment and Extravagant Generosity committee as required.
Facilities
Provide direct supervision of the facility manager. Work with the facility manager to ensure all church facilities are maintained for the safety and comfort of members and visitors. Work with facility manager to develop, update and carry out building use policies as directed by the Board of Trustees. Responsible for scheduling all events for the church, preschool and outside groups working to ensure the most efficient, economical use of church facilities. Responsible for the safekeeping of legal documents.
Provide leadership and knowledge for the Board of Trustees. Attend monthly committee meetings as required.
Communications/ Information Technology
Provide direct supervision of the director of communications. Work with the communications director to develop the most effective means of communicating both within and outside the church. Ensure computer hardware and software applications effectively support the church’s information technology needs. Ensure staff is trained adequately to take full advantage of application functionality and
capabilities. Provide direct supervision of the director of worship media operations.
Perform additional duties as required.
Periodic responsibilities
Work with staff and ministries to prepare annual church budget for approval by Finance and Church Council. Assist direct reports, other staff and ministries by monitoring their budgets throughout the year, providing recommendations as necessary. Responsible for preparing forms and reports for annual charge conference and annual reporting to the Rio Texas Conference. Provide administrative oversight and assistance with the annual audit. Provide administrative oversight of annual stewardship campaign and capital campaigns, as necessary. Assist Board of Trustees in review of property and liability insurance coverage. Serve as a liaison to Church Mutual Insurance in regards to insurance claims. Assist Board of Trustees with decisions on capital purchases and improvements. Negotiate vendor agreements and contracts as directed by the Board of Trustees. Ensure that personnel policies and job descriptions are current. Negotiate and make annual recommendations to SPRC regarding benefits programs for lay employees.
