Administrative Assistant and Conference Center Receptionist
JOB SUMMARY:
The Administrative Assistant and Receptionist serves as the United Methodist Rio Texas Conference Center receptionist, conference registrar and provides administrative support for Conference Communications, Safety Policy, Intergenerational Discipleship, and the Mission Field Ministries department as needed. This position serves guests by greeting, welcoming, and directing them in a hospitable manner and notifies conference personnel of guest arrival. Duties also include administering a multi‐phone line system and assisting with Conference Center COVID Safety Policies with excellent mission field‐oriented service and commitment to the Conference mission, “to make disciples of Jesus Christ for the transformation of the world.”
ESSENTIAL FUNCTIONS RECEPTIONIST:
Serve as United Methodist Rio Texas Conference Center Receptionist with duties including, but not limited to, receiving, welcoming, and greeting visitors to the United Methodist Center, directing visitors to hospitality center for refreshments, appropriate offices, and meeting locations.
Execute the Conference Center COVID‐19 pandemic procedures and general safety policies in accordance with building reception and visitor entry.
Answer incoming phone calls on a multi‐line system and direct calls to the appropriate personnel.
Administer the daily visitor sign‐in log and maintain a welcoming and clean receptionist area.
Provide information on United Methodist Center Conference events, programs, personnel, and area churches.
Distribute incoming mail to appropriate department boxes, notify appropriate personnel when package deliveries arrive.
Serve as the point of contact for scheduling meetings via the room reservation link and other activities in United Methodist Center meeting rooms.
Maintain the Conference calendar of events and administer website calendar.
Facilitate information on meeting room setup, event changes, equipment needs for scheduled events and relay information to the appropriate communications and maintenance personnel.
ESSENTIAL FUNCTIONS CONFERENCE SAFETY POLICY AND INTERGENERATIONAL DISCIPLESHIP:
Provide administrative support to the Director of Intergenerational Discipleship and Conference Safety Policy “Trusted con Confianza.”
Provide basic bookkeeping for financial tracking, disbursements, and credit card reconciliations.
Administer “Trusted con Confianza” communications, inquires and respond to Safe Gatherings questions
Order supplies, make copies, and complete program mailings.
Organize and schedule meetings, maintain certifications and registrations.
Assist facilitators and prepare meeting/training materials.
Assist churches with training requests.
ESSENTIAL FUNCTIONS COMMUNICATIONS AND REGISTRATION:
Administer conference events registration, including participant registration, data entry, and provide event reports to Mission Field Ministries Directors.
Administer Prayer Partner Communications.
Maintain Conference Employment Opportunities webpage and add/remove postings as needed.
Coordinate event communications with event facilitators and sponsors.
Complete financial event close‐outs.
Collaborate with the Mission Field Ministries administrative support team on the administration of events registration tasks.
Provide administrative support to the Director of Communications and provide basic bookkeeping support such as financial tracking, disbursements, and credit card reconciliations.
